Apostille or Notarisation – What Do I Actually Need?

Notarised translation or translation with an apostille? When each form of certification is needed – and how UniTranslate handles both for you.
Certified, notarised, with an apostille – the terms are often confused, yet they describe three different levels. Which level you need depends on where you are submitting the document. The rule of thumb: the further away from Switzerland, the more certification is required.
Level 1: Certified translation – for use within Switzerland
For most Swiss authorities, courts and universities, a certified translation from a recognised translation agency is generally sufficient: the translation is provided with a stamp, signature and certification note. Typical cases include naturalisation, marriage, recognition of diplomas or submissions to the civil registry office.
Level 2: Notarised translation
With a notarised translation, a Swiss notary additionally confirms the signature of the translation agency. Certain authorities and many foreign bodies request this form. Whether it is necessary is usually stated in the submission requirements of the receiving authority – if in doubt, ask us; we are familiar with the requirements of most authorities.
Level 3: Translation with an apostille – for use abroad
The apostille is an international form of super-legalisation under the Hague Convention. With it, the State Chancellery confirms the authenticity of the notarial certification, so that the document is generally recognised in all contracting states – from Germany to the USA to Brazil. If your document is needed in a country that has not joined the Convention, a consular legalisation via the relevant embassy is required instead.
